What is the opportunity?

Under the Regional Finance Officer’s supervision, the Procurement Assistant oversees the procurement and logistics functions within the region, following established standards and procedures. This position will be based in Dodoma, where the regional offices are located. This position requires abilities to plan, organize, and coordinate assigned activities related to the office.

The Procurement Assistant will be responsible for:

Procurement Operations

  • Create and carry out the yearly procurement schedule.
  • Make sure that the things you acquire fit the end-user’s standards and that the procurement process is timely, completed, and recorded.
  • Forward purchase orders and requests for quotes to vendors and service providers.
  • To make sure that the procurement procedures have been followed, gather all pertinent supporting documentation and attach it.
  • Create and manage a list of vetted suppliers, managing the operation’s logistics and supervising the storage and transportation of items as needed.
  • amend the pre-qualification list of suppliers on a regular basis and request permission to amend the list of service providers and suppliers once a year. Thus, the following will be involved.

Logistics & Administration

  • responsible for receiving, storing, and issuing goods in accordance with regional Logistics Standard Operating Procedures.
  • Put together and produce the supervisor’s internal weekly stock sector update.
  • Plan shipments to IDS field locations in advance of your transportation requirements.
  • Complete the packing list and waybill, among other documentation, required for the shipping of goods.
  • When necessary, draft service agreements with the transportation provider.
  • Make sure the legal paperwork and processes for every car are up to date. Occasionally, give new hires orientation on procurement procedures in accordance with LI policy.

Fixed Assets and inventory management

  • Ensure timely offloading of all supplied inventory at the warehouses and update all the relevant departments.
  • Conduct Inspection of warehouses and report any repair/maintenance and fumigation needs to the supervisor.

  • Conduct monthly physical count of all inventory items held in the warehouses and maintain assets register for each sector.
  • Store warehouse keys in a secure location to guarantee the warehouses are properly secured.
  • keeping track of stock/bin cards and ledger information.
  • Compile a daily report on the goods that arrive and depart from the warehouse.
  • Help with the preparation of accurate, exact, and analytical weekly, monthly, and annual stock reports.
  • With the finance team, conduct physical inventory counts on a regular basis.
  • Assist the field teams in keeping inventory records detailing the inflow and outflow of products as well as other supplies from the shop.

What is required?

  • Alignment with Water Mission’s Statement of Faith and core values of Love, Excellence, and Integrity.
  • Impeccable level of integrity in handling funds in an accountable and transparent manner.
  • Fluent in English and Swahili.
  • University degree in Procurement and Logistics is required.
  • At least one year of experience in procurement and logistics management.
  • Excellent written and verbal communication skills, including articulating ideas and feedback constructively.
  • Skills with MS Office suite (Word, Excel, Outlook, and SharePoint)
  • Personal and growing relationship with Jesus Christ.
  • Excellent project management skills.
  • Excellent relationship and conflict resolution skills.
  • Ability to work both independently and collaboratively with a team.
