Transactions Processing Lead

FOR COMPREHENSIVE INFORMATION REGARDING THE VACANCY

Job Title: Transactions Processing Lead

Reports To: Operations Manager

Purpose of the Job:

The role is responsible for oil back office operations, including cheque book management, cheque transactions, reporting on operational performance, operational procedures, technical support for new products, and management information systems, to ensure optimal efficiency in head office and branch operations.

Key Accountabilities:

  • Responsible for the general supervision of the doily operations in the department.
  • Supervises and oversees all activities in the unit, including regular controls on his/her staff’s activities.
  • Manages the Head Office Unit’s directory on the Operations server and ensures that all verified documents are posted in the appropriate folders.
  • Oversees the technical contra and inter branch suspense accounts to ensure that transactions are correctly posted.
  • Ensures that operational reports (weekly, monthly, quarterly, and annual) are generated and sent on time to relevant parties.
  • Ensures that all operational data delivered to stakeholders is complete, consistent, and accurate.
  • Proposes and supervises the preparation of further reports.
  • Oversees the improvement of reporting formats and methods.
  • Responsible for calculating the minimum supply of check books kept by our provider.
  • Monitors the stock level of cheque books with our provider.
  • Responsible for providing regular reports on the performance of the cheque product.
  • Supervises the establishment of a mechanism to collect feedback on procedures from branches for possible review.
  • Supervises the upgrading of applicable procedures, forms, rules, and tools, as well as ensuring communication with all users.
  • Supports branch-based training sessions for the implementation of new procedures and control instruments.
  • Oversees the creation of new work instructions in coordination with other departments.
  • Ensures communication of any new instructions/procedures to all stakeholders.
  • Ensures follow-up on all requests submitted to the IT department for implementation.
  • Oversees the operation of M-pesa. SMS service, mobile banking. Mobile Money Agent Services, ATM Card Services, Western Union, Financial Services, KYC and Account Opening
  • Responsible for preparing all papers for publishing of transcriptions/corrections in 7BBC.
  • Oversight duty for creating staff CIF and staff accounts in TBBC
  • Perform quality assurance on new goods, processes, and automation projects on TBBC or other systems.
  • Ensure that all actions follow the guidelines of the bank’s policies and procedures.
  • Create a culture of continuous improvement by recognizing opportunities to improve processes.

Thinking Requirements and Working Complexity:

  • Ability to meet targets set by the Operations Department
  • Ability to provide clear, transparent, and accurate information to all stakeholders.
  • Ability to comprehend and improve company policies and procedures.
  • Ability to meet deadlines and work under pressure
  • Ability to arrange his/her work through the definition of a planning and a task list.
  • Ability to communicate effectively, both orally and in writing (ability to write clear and succinct memos, work instructions, procedures)
  • Superior analytical and problem-solving abilities, with a sharp eye for detail.
  • Good drive for initiatives.
  • Proficient with spreadsheet, word processing, and database programs.
  • The capacity to operate in a fast-paced setting while still being able to multitask is crucial.
  • Ability to manage information using the MIS and keeping records.

Knowledge and Experience Required of Job Holder

  • A first-class degree in social sciences/humanities, business administration, mathematics, statistics, accounting, banking, or finance is required. It is critical to be familiar with operational, financial, and quality assurance procedures as well as full functioning of Microsoft Suite.
  • A minimum of three years of relevant experience, one of which should be in an operational or financial institution. Good understanding of the financial industry will be advantageous. Knowledge of any banking software, statistics, and reporting tools will be advantageous.
